12-Week Learning Plan

Set aside one hour a week to learn, experiment, and apply AI together as a team.
This team learning plan is adapted from the original 12-Week Learning Plan to support learning and practice as a team.
Over 12 weeks, your team will learn and practice how to use AI confidently, responsibly and effectively in everyday work. By the end of it, you will be able to:
Understand when, where and how to use AI effectively and responsibly.
Apply AI to your work while retaining professional judgement.
Improve at least one real work task using AI.
Contribute to a shared team practice for continuous AI learning and adoption.
The learning plan is tool-agnostic and can be followed using your agency’s approved AI tools. Product-specific resources are included where they provide useful practical guidance.
Week 1: Start with the problem

Week 2: AI foundations

📖Learn | What is AI and why does it matter? (opens in new tab) - Understand what is generative AI, what it's good at and its limitations. How do we use AI at work? (opens in new tab) - Explore the various AI tools in government and how they can support different tasks. |
✏️Try | Review your team’s daily tasks and identify where AI can help, and where it performs poorly or should not be relied upon. Explore your agency’s approved enterprise AI tools and try a simple task, such as drafting or summarising. |
💬Share | Where could AI make the biggest difference to your team's work? Where would we not want to rely on AI? Which AI tool will your team be using? Has everyone onboarded? |

Week 3: Prompting as a conversation

📖Learn | Introduction to prompting (opens in new tab) - Learn how to give AI clear instructions, relevant context and specific output requirements. |
✏️Try | As a team, perform the same work task with AI, such as analysing data or drafting a submission. Compare your initial outputs, then improve them over 2–3 conversational rounds by adding context and giving specific feedback. Apply the same prompting approach to one part of the problem identified in Week 1. |
💬Share | What information did AI need from us to give a useful output? What changed when we gave it specific feedback? How could we apply this approach to our selected problem? |

Week 4: Use AI safely and responsibly

📖Learn | Using AI responsibly (opens in new tab) - Learn to use AI responsibly at work with the S.A.F.E framework. |
✏️Try | Choose a task your team performs involving AI, such as drafting a deck of slides, and apply the S.A.F.E framework to assess how it should be carried out responsibly. Apply the same questions to the use case your team selected in Week 1. Compare an AI response generated without sources with one grounded in an approved document or workplace source. |
💬Share | What information can we safely use with our AI tools? Where is human judgement and accountability particularly important? What checks should always happen before we use an AI output? Do we have a shared team norm for how we use AI responsibly? |

✏️Try | Choose either a research or data analysis task For research, follow the guide to conduct deep research on a subject of interest in your work. For data analysis, follow the guide to analyse appropriate work dataset using your agency’s approved AI tools and in accordance with applicable data-handling requirements. |

Week 9: Map and improve workflows with AI

✏️Try | Return to the Week 1 problem or pick one recurring task in your job. Follow the guided exercise to map the workflow from start to finish. For each step, identify: AI can assist / Human judgement required / Not suitable for AI. Select one high-value step to improve and note the impact or outcome. |
💬Share | For the selected workflow, which steps can AI ass and which require human judgement? What measurable impact have we observed? Which use cases are worth developing further or adopting more broadly at team or organisation level? What would it take to embed this into our regular way of working? |
